Contact the exact hotel branch where you stayed, even if you have already left Japan. Send your booking name, stay dates, room number if known and a useful description of the missing item. Ask whether it has been found, who holds it now, the collection deadline and which return options the hotel permits. Finding an item and getting it home are separate steps.

Try the hotel’s official email, enquiry form or booking-platform message channel first. If a Japanese phone follow-up is needed, prepare the same details rather than starting another incomplete enquiry.

What to send the hotel

APA’s own lost-item guidance advises contacting the hotel promptly with the stay details and an item description. Holding periods and return arrangements vary; valuable items may be transferred to police. Ask the specific branch rather than relying on a chain-wide assumption.

Remove the room-number sentence if you do not know it. Replace the placeholders; do not invent a reference or item detail.

If the hotel has not replied or has not found it

Check that you contacted the correct branch. Follow up in the same message thread with any missing identifying detail and ask when it is sensible to check again. If the hotel requests a call, use its official number and quote the existing enquiry.

If it says the item was transferred, ask for the receiving organisation, transfer date and reference. The National Police Agency’s facility-loss guidance starts with the facility that may hold the item; it does not mean every lost item is already at a police station.

“We have received your enquiry” is not confirmation that your item has been found. A tracker location is a clue to share with the holder, not proof that it can release the item.

If the hotel found it but will not ship overseas

Ask which of these routes it permits before making a payment or sending anyone to collect:

A friend, another hotel or a forwarding service must agree to receive the item first. A domestic handover does not establish that the next international leg is allowed.

If it has moved to Tokyo police, use their official collection guidance. It describes proxy requirements and mailing within Japan, not a general overseas-shipping service. Ask the holding office about your case; Native Call does not undertake police collection.

Phones, laptops and other items with shipping restrictions

Tell the carrier exactly what the item is before agreeing to shipment. Japan Post’s international restrictions depend on both the item and destination. Its lithium-battery conditions distinguish permitted batteries installed in equipment from other arrangements. That is not blanket permission to mail every laptop, phone or power bank.

A documented hotel enquiry and shipping-assistance case

In our Shinjuku APA Hotel MacBook Air case, the customer had returned to the US. Native Call followed up on hotel reference details, traced the holding location after a transfer to police, clarified documents and later helped with shipping back overseas.

The linked 34-second video shows the earlier hotel enquiry. The later shipping assistance is recorded as the case outcome; the clip itself does not show dispatch or delivery. This historical case does not establish a success rate, an APA partnership or a promise to collect future items from police.

When paid help makes sense

If the hotel’s free channel resolves the issue, you can continue directly. If you need Japanese enquiries or an agreed recovery arrangement, the lost-property service page explains the current scope:

Handling, carrier charges and customs costs are separate and require your agreement. Search success requires the correct item and usable release instructions. Full Service also requires an agreed, permitted recovery route before the balance is requested. If the agreed recovery cannot be completed, all Native Call service fees paid are refunded; separately approved third-party costs follow the provider’s refund rules.

FAQ

Can a Japanese hotel send my lost item overseas?

Ask the specific hotel. It may offer international shipping, domestic shipping, collection only or no shipping. The item, destination and carrier also affect what is possible. Do not assume that a hotel can ship a phone or laptop just because it found it.

What if the hotel only ships to a Japanese address?

Ask whether it accepts your proposed recipient and how it verifies ownership. Confirm the recipient’s agreement before providing an address. Any onward international shipment is a separate arrangement with its own restrictions and costs.

Can someone call the hotel for me in Japanese?
