Standard Japan hotel check-in flow

1. Tell the front desk the booking name or show your booking confirmation.
2. Show passports for the guests who need to register.
3. Fill in the hotel registration card.
4. Confirm payment, breakfast, smoking/non-smoking room, and any deposit or card authorization.
5. Receive the key card and listen for breakfast time, Wi-Fi, checkout time, and entrance rules.

If your booking name, guest name, arrival time, or payment method is unusual, contact the hotel before arrival.

Check-in times

Plan around a 3:00 PM check-in, although some hotels and ryokan start at 4:00 PM. The Japan Tourism Agency’s accommodation guide gives 3:00–4:00 PM as the usual range. If dinner is included, arrive before the meal service ends; arriving late can mean missing dinner.

Arriving early usually means leaving your luggage first, then returning when your room is ready. Luggage storage and early room access are separate services. Toyoko Inn’s FAQ allows luggage drop-off from the morning of arrival, subject to available capacity, but completing paperwork early does not grant early room access. There is no single latest check-in time for Japan. A hotel with a 24-hour front desk is usually easier for a late flight; a small inn or dinner-inclusive ryokan may have stricter limits. Passport rule and hotel registration form

The Ministry of Health, Labour and Welfare’s guidance applies specifically to foreign nationals without an address in Japan: record your nationality and passport number, and present your passport for copying. This is not a blanket passport rule for everyone with foreign nationality, including residents of Japan.

The 2023 registration-rule update replaced occupation with contact details in the statutory guest register. A hotel may still use a form with additional fields.

Deposits and credit-card authorization

Some hotels place a credit-card authorization at check-in. In Japanese you may hear デポジット for deposit or 与信枠 for card authorization. The amount varies by hotel class and stay plan; use the booking page or hotel policy as the source of truth.

The authorization may release after checkout in a few days or a few weeks depending on the hotel and your card issuer. If you see two entries, first ask the hotel which one is the final charge and which one is only an authorization.

When to call the hotel

Call the hotel when:

• the booking name and actual guest name are different;
• you need storage for unusually large luggage or outside normal arrival-day hours;
• a kiosk cannot find your booking;
• your card is declined and you need another payment option.

Late arrival is the most urgent one. Toyoko Inn’s guest guide warns that a booking may be cancelled if the guest misses the planned arrival time without notice. Letting the hotel know your new arrival time is the practical default; a late arrival is not automatically covered by having a reservation.
