Running Late or Cancelling a Restaurant Booking in Japan

Tell the restaurant before your booking time. Cancel or change through the service you booked with while it still lets you. If you’re only running late, or the online option has closed, phone the restaurant. Each restaurant sets its own cancellation fees, and some charge 100% for a same-day cancellation. A no-show is charged under the same policy, and lateness can count too: some restaurants cancel a table 15 or 30 minutes after the booked time.
What happens if you’re late, cancel or don’t show

Running late: phone the restaurant before your booking time
Restaurants handle late arrivals themselves. TableCheck, for example, says its support team can’t tell a restaurant you’ll be late; you need to contact the restaurant directly.
How long a table is held depends on the restaurant. On the Tabelog English pages of Kyoto restaurants we checked on October 5, 2026:
- Kyo Unawa Honten cancels bookings more than 15 minutes late and asks late diners to phone.
- Gion Sasaki, where everyone starts the course together, treats arriving more than 30 minutes late as a cancellation.
- Niku no Takumi Miyoshi serves late diners the course from the point they arrive and doesn’t admit anyone more than 30 minutes late.
Call as soon as you know. Give your name and booking time, say how late you’ll be, and ask whether the restaurant can hold the table. If it can’t, ask about a later time or cancel, so a delay doesn’t become a no-show. A delayed train or flight doesn’t change the rules: TableCheck and OMAKASE both say such cancellations are still handled under the restaurant’s policy.

Keep the cancellation email or a screenshot of the cancellation screen. It’s your record if a fee is questioned later.
How cancellation fees work
- The restaurant sets the policy, and you accept it when you book. Tabelog, TableCheck and Google show it at booking and in your confirmation. If you booked by phone and don’t know the policy, ask.
- Fees can rise as the date nears. OMAKASE’s own example is 10% from seven days before, 50% from two days before and 100% on the day; on OMAKASE, each step starts at midnight Japan time (UTC+9), whatever time your table is. Kyoto Teppanyaki grow is one restaurant that charges 100% for a same-day cancellation.
- Changes can cost too. TableCheck warns that a fee may apply to a change in party size or time. Tabelog’s terms list arriving late and bringing fewer people among the events a restaurant’s policy can charge for. Kiu, a Kyoto sushi restaurant, treats any change to a booking as a cancellation with a fee.
- A good reason doesn’t remove the fee. TableCheck and OMAKASE both say illness, a companion’s emergency, transport delays and booking the wrong date are still judged by the cancellation policy. Both offer cancellation insurance through a Japanese insurer, but its terms are in Japanese only, and TableCheck says applicants must, in principle, live in Japan.
- Booking fees are separate. Tabelog’s ¥440 per person and OMAKASE’s ¥390 per seat aren’t refunded when you cancel, and neither is a TableCheck FastPass fee.
- The fee goes on the card you booked with. Tabelog emails you when it charges a cancellation fee. On TableCheck, a card hold is charged only for a last-minute cancellation or a no-show under the restaurant’s policy.

After a no-show or a disputed fee
- Contact the restaurant first. On Tabelog, if you’re recorded as a no-show by mistake and the restaurant won’t withdraw it, use Tabelog’s contact form.
- Refunds take time. TableCheck says that once a restaurant processes a refund, it usually takes one to two weeks to reach your card company, and it can take several months to show in your account.
- Unpaid fees and repeated no-shows have consequences. OMAKASE can suspend an account with an unpaid cancellation fee. Tabelog’s terms let it restrict anyone who repeatedly cancels without notice, and Hot Pepper Gourmet’s terms prohibit no-shows and unpaid cancellation fees.
